Problem
The old Vendor Management System was outdated, slow to use, and lacked key features like bulk upload and category setup. The long registration form caused confusion and frequent errors. Overall, the system made vendor onboarding inefficient for admins and project owners.
Guided empty states
The vendor screen had no empty state or guidance, leaving first-time users unsure of how to register a vendor. Users had to figure out the next steps on their own, which caused confusion and slowed onboarding.
A guided empty state with a clear primary action was introduced to help users get started. This change provides immediate direction, reduces confusion, and makes first-time vendor registration faster and more intuitive.
Registering Vendors
Exploration 1 : Full page view
Clear focus for first time users and enough space for structured sections and validation.
Pulled user out of the vendor list context and felt heavy for frequently used action
Exploration 2 : Side drawer
Faster onboarding and keeps user in context of the vendor list.
Risk of unstructured information if fields were not organized and needed clarity on what was optional / mandatory
Exploration 3 : Side drawer with grouped fields ( Final selected) ✅
This approach provided a balance between efficiency for frequent users and clarity for first time users.

The restore vendors flow was cluttered and hard to scan, especially when dealing with long vendor lists. Users had to manually browse entries without any search support, making restoration slow and error-prone.
The redesigned restore flow introduces search to quickly locate vendors, along with a cleaner and more structured UI. This improves scannability, reduces effort, and makes restoring vendors faster and more reliable.
Bulk vendor onboarding was limited and unclear. Users had no guided upload flow, limited feedback after uploading, and no easy way to understand the required file format, making the process error-prone and time-consuming.
A redesigned bulk upload flow with a clear upload area, sample format, and validation feedback helps users onboard multiple vendors quickly and confidently. This significantly reduces manual effort and errors during large-scale vendor onboarding
Improving discoverability with Global Search
Search was limited to vendors only, requiring users to manually navigate through categories to find relevant vendors. As vendor data grew, this made discovery slow and inefficient
Global search now works across both vendors and categories, allowing users to quickly locate information from a single entry point. This reduces navigation effort and improves discoverability at scale.
